Warehouse personnel
The Warehouse Personnel Assignments screen links users to the warehouses they work in. An assignment decides which warehouses a user can see and work on, and what they may do there through an Access level.
Use it when a new manager or operator joins a site, when someone moves to another warehouse, or when a user only needs to see another warehouse’s stock or request transfers from it.
What’s on this screen
Section titled “What’s on this screen”- Summary counts of total assignments, assigned warehouses and assigned personnel.
- Search box — finds assignments by warehouse name or code, or by user name or email.
- All Warehouses and All Personnel filters — limit the list to one warehouse or one user.
- Assign Personnel button — opens the assignment form.
- Table columns: Warehouse, Personnel, Access, Assigned By, Assigned At and Actions.
How to open the screen
Section titled “How to open the screen”- From the side menu, under Administration, open Users & access.
- Click Warehouse Personnel.
You can also open a warehouse from Warehouses and use its Personnel tab.
How to assign a user to a warehouse
Section titled “How to assign a user to a warehouse”- Click Assign Personnel.
- In Warehouse, choose the warehouse.
- In Personnel / User, choose the user.
- Choose the Access level.
- Save the form.
Fields
Section titled “Fields”- Warehouse — an active warehouse.
- Personnel / User — only users with the System Administrator, Warehouse Manager or Warehouse Operator role can be selected. A user can be assigned to the same warehouse only once.
- Access level — what the user may do in this warehouse:
- Operate — full access: the user’s role permissions apply in this warehouse. This is the default.
- Request — can see this warehouse’s stock and request transfers out of it to a warehouse they operate. Cannot issue, adjust or receive here.
- View only — read-only: can see this warehouse’s stock and movements.
How to change an access level
Section titled “How to change an access level”- Find the assignment in the table.
- Choose a new value in the Access column.
How to unassign a user
Section titled “How to unassign a user”- Click Unassign in the assignment’s row.
- Confirm in the Unassign Personnel dialog.
The user immediately loses access to that warehouse through this assignment.
Who can do this
Section titled “Who can do this”You need the Assign warehouse managers permission. If your own access is limited to certain warehouses, you see and manage only the personnel of the warehouses you operate.
