Movement details

Every stock movement has its own details page, the Movement Sheet. It shows the movement’s current status, the route the units take, the people involved, the units in it and the documents attached to it. From here you also carry out the next step of the movement, print its document, edit it or cancel it.

Open this page whenever you need to follow up on a single movement, for example to approve an issue, receive a transfer or check who handled a delivery.

  1. From the side menu, open Inventory › Stock Movements.
  2. Find the movement and click the view icon in the Actions column.

After you create a movement (an issue, a transfer, a repair, a check-in and so on), the app opens its details page automatically.

  • The movement number with a Copy movement number button, its type and its status.
  • Summary tiles: Units, Total value and Days open.
  • Next step — what the movement is waiting for, such as Awaiting approval with the names of the approvers, or Awaiting receipt at the destination warehouse, together with the button for that step.
  • Information sections: Route (Source Warehouse, Destination Warehouse, Customer / Recipient, Supplier), Reference (Reference number, Original movement, repair cost), People (Requested By, Approved By, Assigned to) and Dates (Created, Approved, Expected return). Only the fields that apply to the movement type are shown.
  • Rejection reason or Cancellation reason with the name of the user who closed the movement, when it was rejected or cancelled.
  • Received with discrepancies — shown when a transfer was received with damaged or missing units.
  • Notes & Instructions — the notes entered when the movement was created.
  • Tabs:
    • Units — the Units & Serial Manifest: code, product, ownership, cost and status of each unit, plus the Outcome of each unit where one was recorded (for example Received, Damaged, Missing, Repaired or Unrepairable).
    • Timeline — the Progress of the movement through its stages: Created, Approved, Handed over or Dispatched, and Completed or Received.
    • Attachments — the Documents & Attachments of the movement.
  • At the top: Print document, and when allowed, Edit, Reject and Cancel movement.
  • Draft — not submitted yet.
  • Pending Approval — waiting for an approver (issues and write-offs), or a requested transfer waiting to be dispatched. The units are reserved.
  • Approved — the issue is approved and waiting to be handed over.
  • In Transit / Handover — the units have left the warehouse: an issue was handed over to the recipient, or a transfer is on its way to the destination.
  • Completed — the movement is finished and has taken effect.
  • Completed with Discrepancy — a transfer was received, but some units were damaged or missing.
  • Rejected — an approver rejected the movement; its units are back in available stock.
  • Cancelled — the movement was cancelled; reserved units are released and in-transit units return to the source warehouse.

A typical issue goes Pending Approval then Approved then In Transit / Handover then Completed. A transfer goes from In Transit / Handover to Completed or Completed with Discrepancy. Receipts, repairs, returns from repair and check-ins are recorded as Completed straight away.

  1. Click Print document at the top of the page.
  2. Print the document from the page that opens, or save it as a file.
  1. Open the Attachments tab.
  2. Click Upload attachment and choose the file. PDF, JPG or PNG, up to 10 MB.
  3. To open a file, click View or Download. To remove one you are allowed to delete, click Delete and confirm.
  1. Click Edit at the top of the page.
  2. Change the details or units and click Save changes.
  1. Click Cancel movement.
  2. Enter the Reason and confirm.

You can cancel an issue that is Pending Approval or Approved, a write-off request that is Pending Approval, and a transfer that is waiting to be dispatched or is in transit and not yet received.

  • Viewing the page needs the permission to view movements and access to the movement’s warehouse.
  • Edit and Cancel movement are available to the user who created the movement, or to users with the cancel movements permission, as long as they can operate the source warehouse. Whoever requested a transfer can also withdraw it before it is dispatched.
  • Upload attachment needs the permission to upload movement attachments and operate access to the warehouse.
