Role permissions
A role is a named set of permissions. Every user gets a role, and the role’s permissions decide which screens they see and which actions they can take. The system has three built-in roles — System Administrator, Warehouse Manager and Warehouse Operator — and you can add custom roles for other jobs, such as an auditor.
Create or edit a role when a group of users needs a different set of permissions than the existing roles give.
How to open roles
Section titled “How to open roles”- From the side menu, under Administration, open Users & access.
- Click Roles & Permissions.
How to create a role
Section titled “How to create a role”- Click Add Role.
- Enter the Role Name *, for example auditor or operations_supervisor.
- In Role Permissions, tick the permissions the role should have.
- Click Create Role.
How to edit a role
Section titled “How to edit a role”- In the roles list, click the edit icon (Edit Role) of the role.
- Change the name or the ticked permissions.
- Click Save Changes.
Changes apply to every user who has that role.
The permissions form
Section titled “The permissions form”- Search permissions… — filters the permission list by name.
- Select All / Deselect All — ticks or clears every permission.
- Select all in group / Deselect all in group — ticks or clears all permissions of one group.
- Selected X of Y permissions — shows how many permissions are ticked.
Permission groups
Section titled “Permission groups”- Geographical Regions — view, create, update and delete regions.
- Warehouses — view, create, update and delete warehouses, and Assign warehouse managers (assign personnel to warehouses).
- Categories, Products, Customers, Suppliers, Projects — view, create, update and delete these records.
- Inventory & Units — view inventory, register, update and delete inventory units, Print QR labels, View inventory reports, upload and delete unit attachments, Assign units to custodians and Manage storage locations.
- Stock Movements — view movements, create receipts, issues and transfers, approve issues and transfers, receive transfers, cancel movements, and upload or delete movement attachments.
- Unit lifecycle — request write-offs, dispose of written-off units, record customer returns, inspect returned or damaged units, mark lost units as found, and manage repairs.
- Stock counts — Manage stock counts (plan them) and Perform stock counts (count units).
- Users & Audit — view, create, update and delete users, and view the activity log.
- Roles & Permissions — view, create, update and delete roles.
- System Settings — Manage system settings.
- API access — Use the API (create personal API tokens).
Rules and limits
Section titled “Rules and limits”- The role name is required and must be unique.
- The name of a system role cannot be changed; only its permissions can.
- The System Administrator role always has every permission and cannot be edited or deleted.
- You can only grant permissions that you have yourself. A System Administrator can grant any permission.
- A role cannot be deleted while it is assigned to users, and system roles cannot be deleted.
