Scheduled reports

Scheduled reports email a report to you automatically on a daily, weekly or monthly schedule. Use them when you want the same figures regularly, for example a weekly stock summary every Sunday morning, without opening the system.

Each schedule sends its report as an Excel attachment to the email address of the user who created it. There is no separate recipients list: each person who needs the report creates their own schedule.

Report types

• Stock Summary Report
• Products Inventory Report
• Stock Movements Report

Schedule fields

• Schedule Name — for example “Weekly Stock Summary”.
• Report Type — one of the types above.
• Frequency — Daily, Weekly or Monthly.
• Day of Week — shown for weekly schedules.
• Day of Month (1–28) — shown for monthly schedules.
• Send Time (UTC) — the time of day to send, in UTC.

How to create a schedule

1. From the side menu, open Reports, then click Scheduled reports.
2. Click New Schedule.
3. Fill in the fields and click Create Schedule.
4. The message Scheduled report created. You will receive it by email. confirms it. The list shows the schedule’s Status and Next run.

How to send a test

1. In the list, find the schedule.
2. Click Send test email now.
3. When Test report sent to your email. appears, check your inbox after a short while.

Pausing, resuming and deleting

• Pause — stops sending without deleting the schedule; its status changes to Paused.
• Resume — starts sending again; its status returns to Active.
• Delete — removes the schedule after confirmation. It stops sending.

The list also shows when each schedule last ran (Last:) and when it runs next (Next:).

Note

Send times are in UTC, not your local time. Convert your local time to UTC when you choose Send Time (UTC).

Required permission

You need the view inventory reports permission and two-factor verification where your account requires it. You can see and manage only your own schedules. If you lose the permission, your scheduled reports are no longer sent.
