Custom reports

Custom reports let you build your own report when the standard ones do not show exactly what you need. You choose the data source, the columns, the filters, the grouping and the sort order, save the report, and run or export it whenever you like. Each saved report belongs to the user who created it.

In Data Source / Entity, choose what the report reads from:

  • Inventory Units
  • Products
  • Stock Movements
  • Customers

Changing the data source resets the columns and filters.

The builder has these sections:

  • Data source — Report Name (required), Description (optional) and Data Source / Entity.
  • Columns — tick the columns to include and use the arrows to reorder them.
  • Filters — add filters such as Status, Warehouse, Product, Category or date ranges, and choose a Comparison such as equals, not equals, contains or in list. Only rows that match every filter are included.
  • Grouping and sorting — Group By combines rows with the same value into one row and totals numeric columns; Sort By and Direction (Ascending or Descending) set the order; Rows per page sets how many rows show on each page.
  1. From the side menu, open Reports, then click Custom reports.
  2. Click New Report.
  3. Enter a Report Name and choose the Data Source / Entity.
  4. Tick the columns, add filters and set the grouping and sorting.
  5. Click Preview to check the results in Report Preview.
  6. Click Save. The message Report saved successfully. confirms it.
  1. Open Custom reports. The list shows each report’s Name, Entity, Columns, Filters and when it was last Updated.
  2. Click Preview on a report to run it with the latest data. Use Previous and Next to move between pages.
  3. Click Export XLSX to download all matching rows as an Excel file.
  • Edit — open the report in the builder and change it.
  • Duplicate — make a copy named with “(Copy)” added to the original name.
  • Delete — remove the report after confirming.

Custom reports are not starred one by one. To reach them quickly, click the star on the Custom reports card on the Reports page; it then appears under Favourites at the top of that page.

You need the view inventory reports permission. You can edit, run and export only your own reports; administrators can manage any report.
