Email settings
Email settings tell the system how to send its messages, such as notifications, password reset links and scheduled reports. Set them up when you first install the system and whenever your mail server or sender address changes. After saving, send a test email to make sure delivery works.
To open it, from the side menu choose System › Settings, then open the Email tab.
What’s on this screen
Section titled “What’s on this screen”- Mail Server Settings — the connection details for your mail server, with Save Mail Settings.
- Test Connection — sends one message with the saved settings, with Send Test Message.
Fields
Section titled “Fields”- Mailer Type — how email is sent. SMTP sends through your mail server; Log (for testing) only writes messages to the application log and sends nothing. Sendmail may also be offered.
- Server Host — the address of your mail server.
- Port — the server port.
- Encryption — TLS, SSL or No encryption. It must match your mail server: TLS usually uses port 587 and SSL port 465.
- Username — the account used to sign in to the mail server.
- Password — the account password. Leave blank to keep the current password. To remove a saved password, tick Clear the stored password.
- From Name — the sender name shown on every system email (required).
- From Address — the sender address on every system email (required). Many servers require it to match the username.
How to update email settings
Section titled “How to update email settings”- Open the Email tab.
- Choose the Mailer Type and fill in the server details.
- Enter the From Name and From Address.
- Click Save Mail Settings, or Cancel to discard your changes.
New settings take effect for all emails sent after saving, including queued notifications and reports.
How to send a test email
Section titled “How to send a test email”- Save your mail settings first.
- Under Test Connection, check the Recipient Email. It defaults to the company’s Official Email.
- Click Send Test Message.
- A success message confirms the email was sent. Check the recipient’s inbox.
If sending fails, the message Sending the email failed. Check the mail settings and try again. appears. Check the host, port, encryption, username and password.
